Admin Help Info

1. Admin Log In Screen
Note that the help file for admin can be found on the menu for admin log screen. The agent help can be found on the agent log in screeen. Note that the lost password and return to BoomTown works from either the Agent Log In or the Admin log in screen.

The visit agent section on this screen will quickly take you to the agent log in so that you may log in as an agent.

Go ahead and log in now and I will walk your thru each screen.






2. Admin Control Panel

This is the screen where most any kind of action can be initiate.

Manage Agents - This item will be used to add, edit and delete agents.

Manage Ammend - This item will be used to enter new ammendments and contorl their sign off.

Manage Hamp Documents - This item will be used to add and remove Hampton Roads agents documents.

Manage Rich Documents - This item will be used to add and remove Richmond agents documents.

View Manual Not Sign Off - This item can track and display the agents that have not signed off the Policy Manual.

View Ammend Not Sign Off - This item can track and display the agents that have not signed off the latest ammendment.

View Policy Manual - This is the full RRG Policy Manual.

Visit Agent Area - This will transfer the admin person (you) to the agent area so you may log in to test or use the agent area.

Log out - This will be used to log out of admin. You will then be retured to the Admin log in page where you may log in again or select the Visit Agents Site to go there.






3. Admin Manage Agents Screen

Agent Name: self explanatory

User Name: self explanatory

Password: self explanatory

City: The city will be entered in the record as hamp for Hampton Roads agents and Richmond for Richmond Professional agents. Primarily this is used to make sure they access the correct documents.

Edit: Used to call each agents records one by one and Edit as necessary.

Delete: Caution: This will instantly delete an agents record. It will not remove his archive of Manuals and Ammendments signed off. This information is permanent.

I: When a 1 here indicates the agent has made the initial full manual sign off. Be careful about editing this as there will be no archive and proof that he has signed off.

R: This indicates that the agent has signed off the latest R=Revision or ammendemnt. It only identifies the last one since all others are in the achive. Do not edit as no archive will exist.

M: When a 1 here indicates that the person is a manager and using his normal password he can log into the back end.. the admin area. My Date: This is the estimated date of agent affiliation. It is used to automatically force the agent to reverify the entire Policy manual on an annual basis.






4. Admin Add New Agent

In adding a new agent.. most of the boxes are pretty much obvious. I will discuss some that may not be so obvious. Also this screen is the same as the agent fills in with exception of a few additional items on the bottom.

Admin should never normally fill this in as it will bypass all the initial requirement to confirm the manual. However if you make sure you put a 0 in the I and R box then the first time the agent arrives at the Intranet he will be force to review the manual and any new revisions.

Note that even though it says Hampton and Richmond it will actually enter hamp and rich which is the required format.

Manager?: When you check this box the individual will be given admin power so do not tick that box unless you are very sure.

Man Review?: When this box is ticked the Complete and Full Review of the manual is done but will not be in the archive.. so use this cautiously.

Man Ammend?: When this box is ticked the the latest ammendment of the manual is done but will not be in the archive.. so use this cautiously.






5. Admin Edit Agents

The admin edits is the same as the Add Agent and the only difference is that you are making a simple edit vice adding a complete new record.

Be careful coming here and editing a whining agent that says he signed off the manual, since if you tick his box it will not be added to the archive. The only way it can get in the archive is when the agent uses his own personal password acknowledges they manual. So listen to the whinging.. then tell them to go back and try it again. For trouble shooting you can edit your signoff to zero and go in and re-acknowledge yourself to see if there is a problem.. it may be user head up ass.






6. Admin Delete Agents
The deletion page does not have an image but is self explanatory. Simply pressing delete next to any agent will instantly remove him from the file. However his historical Manual and Ammendment sign off will never be deleted.






7. Admin Manage Ammendments Screen

Adding the data into the Ammendments page has not changed and you are very familiar with how this works....

Just fill in the boxes and the question and be sure to save it..






8. Admin Policy Manual Screen

This is just a snapshot of the last page of the manual that appears when the agents select the confirmation button in the upload area.

Nothing has changed on this page when you need to Add or Delete documents from the Richmond area.

Just scroll to the bottom for the upload boxes... same as before.

11. Admin Mgr Receives agent Sign off

This is an example of an email that the Manager will receive on each sign off by the agent.






12. Agent Receives Ammend Sign off

This is an example of an email that the agent will receive on each sign off by the agent.






13. Reminder Sent To Agent

This is an example of an email reminder that the agent will receive each 24 hours until he signs off the manual or the ammendment.






13. Danger Control Panel

Last but not least is the danger control panel named cause it can make a mess... but not a very big one. It is used to zero out all the agents at once when you want them all to review the Policy Manual end to end... when you select the I for initial review it will put a zero in each agents record requiring them to each review the policy manual. Normally this will never be needed since on an annual basis of the date of their affiliation.. they will be required to reveiw the manual automatically. However management can initiate this requirement at any time by submitting this check box.

The one you will most likely use a lot is that when you post an ammedment you need to come here to initiate the review. The instant you run this with a check in the Ammendment box it will change all the 1's to a 0 in each agents record and each agent will then receive an email to review the ammendemnt...

Just be very careful with this as it can piss the folks off...
